Ascend Integrated Media, LLC (“AIM,” “we,” “us,” and “our”) is committed to sustaining your (“you” and “your”) trust in us. This Privacy Policy describes our policies and procedures regarding how we collect, use, and disclose your information in terms of this website and the products and services that we offer our clients.

Information We Collect

We may collect personal information about and from you if you contact us to inquire about our services. We will also collect information that is necessary for us to provide you the services that you request, to help serve your needs, to make customized offerings of our products and services for you, and to fulfill legal and regulatory requirements.

Both the amount and type of information we collect will be limited to what is necessary for the reasons above. The purpose for collecting this data is to provide you the products and services you requested from us. We collect and hold your information for as long as reasonably necessary to provide those products and services or to fulfill legal and regulatory requirements.

By purchasing one of our products or services, you gave consent for us to contact you regarding that product or service as part of our commitment to customer service.

If you opt-in to receive marketing emails from us, you voluntarily consent to receive such messages. We also track email usage information to improve our emails, deliverability, and enhance the content sent to you. You may contact us regarding this use at any time using the contact information below.

We shall keep your information on our mailing list until you withdraw you consent. You may opt out of receiving these messages at any time by using the opt-out links in every email or contacting us.

We do not share this information with any third parties outside our organization, except as stated below.

Information We Receive from Our Clients

We provide event support and advertising services. As such, we often receive our client’s email list and/or event attendee information, which often consists of persons’ names, email addresses, and/or mailing addresses.

We use this information as directed by the client to provide the products and services that they have contracted for with us.

We do not request or require sensitive or special category information.

Cookies

We use cookies on our website. These cookies track how our site is used which will help inform us which areas are useful to users and what areas need improvement. You can turn off these cookies through our website. Look for the cookie acceptance bar on your first visit, or the gear icon on the lower left side of the page to adjust your settings.  You can also turn off cookies through your browser’s settings. If you turn off cookies, you may still access this site.

Unless you opt-out of cookies, when you visit the site, our web analytics system automatically tracks your usage of the site, but we have taken the step to anonymize your IP, and this does not give us any additional personal information. The site may also collect anonymous aggregate “traffic data” (contains no personally identifiable information about individual users) that may help us improve our site and services.

Sharing Information with Others

We share personal information with third parties, such as service providers, who assist us in the day-to-day operations of AIM as we provide our products and services to our clients or market our own services. We require those third-party service providers to enter into confidentiality agreements with us, prohibiting them from using the information for any other purpose other than those they were paid to provide. When using client data, we get our client’s consent prior to sending it to the third-party provider.

We will not share or sell your information to other third parties without your explicit consent except for the following reasons. We may share your information with a third party if we have a good-faith belief that sharing the information is necessary to comply with a law, regulation, or enforceable government request including court orders; to investigate potential violations or technical issues on our site; or to protect against harm to us, our users, or our affiliates’ rights, property, safety, or to the public as permitted by law. We must disclose your personal information in response to lawful requests by public authorities, including to meet national security or law enforcement requirements.

For all other uses, we will seek your consent to use your personal information in a way that is not directly related to the reason that we collected it and we do not have relevant current permission from you unless so permitted by law. You may opt out of having your information shared with a third party or used for a purpose that is materially different from the purpose(s) for which it was originally collected or subsequently authorized by you by contacting us using the information below.

Transmitting Your Information from Europe

We are a U.S.-based company. If a client provides a contact list to us related to a service we have been hired to provide, we expect our client to comply with the EU-U.S. Privacy Shield or another legal basis for transferring data between the EU and the U.S.

When we transmit a person’s personal information from overseas, we will only do so with your consent to the transmission or otherwise in accordance with the applicable privacy laws. Placing an order for products or services that requires you to voluntarily provide us with your personal information is an expression of consent to your personal information being sent from Europe as part of the transaction process.

Pursuant to the GDPR, we use reasonable efforts to comply with the requirements of the EU-U.S. Privacy Shield.

We are subject to the investigatory and enforcement power of the Federal Trade Commission (“FTC”) in the United States, which oversees acts or practices in or affecting commerce by any person, partnership, or corporation. The FTC has jurisdiction over AIM’s compliance with the Privacy Shield.

EU-US Privacy Shield

Pursuant to the General Data Protection Regulation (“GDPR”), we participate in the Privacy Shield and we adhere to the Privacy Shield Principles. All personal data we receive from the European Union are subject to the Privacy Shield Principles in reliance on the Privacy Shield.

In the context of an onward transfer of your information, AIM has the responsibility for the processing of personal information it receives under the Privacy Shield and subsequently transfers to a third party acting as an agent on its behalf. We shall remain liable under the Principles if our agent processes such personal information in a manner inconsistent with the Principles, unless we prove that we are not responsible for the event giving rise to the damage. AIM does not have any entities or subsidiaries within the company.

AIM complies with the EU-U.S. Privacy Shield Framework as set forth by the U.S. Department of Commerce regarding the collection, use, and retention of personal information transferred from the European Union to the United States. AIM has certified to the Department of Commerce that we adhere to the Privacy Shield Principles. If there is any conflict between the terms in this privacy policy and the Privacy Shield Principles, the Privacy Shield Principles shall govern. To learn more about the Privacy Shield program, and to view our certification, please visit https://www.privacyshield.gov/.

In compliance with the Privacy Shield Principles, AIM commits to resolve complaints about our collection or use of your personal information. European Union individuals with inquiries or complaints regarding our Privacy Shield policy should first contact AIM at: privacy@ascendintegratedmedia.com.

AIM has further committed to refer unresolved Privacy Shield complaints to JAMS, an alternative dispute resolution provider located in the United States. If you do not receive timely acknowledgment of your complaint from us, or if we have not resolved your complaint, please contact or visit JAMS for more information or to file a complaint. The services of JAMS are provided at no cost to you. Additionally, you may lodge a complaint with the appropriate supervisory authority at any time.

You may, under certain conditions, invoke binding arbitration for complaints regarding Privacy Shield compliance not resolved by any of the other Privacy Shield mechanisms.

Your Rights Regarding Your Information

At any time, you may request that we:

  • Update your personal information
  • Correct your personal information
  • Delete your personal information
  • Receive a copy of your personal information

We will comply with such requests as permitted by law or contract. This may include requesting instructions from our clients on how to proceed with these requests where the data is provided to us by them.

California residents may ask us for information about the categories of data we have collected about them and shared with third parties for marketing purposes in the preceding calendar year and provide the contact information for those third parties. If you are a California resident who would like a copy of such information, please send us a written request using our contact information below.

Safeguarding Personal Information

We have internal policies and procedures designed to protect your personal information, including protection from unauthorized use or disclosure. We have implemented physical, electronic, and procedural safeguards to maintain confidentiality and integrity of the personal information in our possession and to guard against unauthorized access. We continue to assess new technology as it becomes available and to upgrade our physical and electronic security systems as appropriate. In accordance with GDPR, we perform a self-assessment of our privacy practices and procedures at least annually.

Our policy is to permit employees and independent contractors to access your personal information only if they have a business purpose for using such information, such as administering, providing, or developing our products or services. Employees and independent contractors are provided with your and your contacts’ personal information on a need-to-know basis only and are bound by contract to keep all personal information confidential and protect such information in accordance with this Privacy Policy.

We delete personal information that is no longer necessary for us to have as a business entity or to provide you with our products and services.

Modifications to Our Privacy Policy

We reserve the right to amend this Privacy Policy from time to time, with or without advanced notice, and will post the latest version on our site in a timely manner with notice on our homepage. Such revisions shall be effective immediately upon posting. We recommend that you review this Privacy Policy periodically so that you are aware of any changes. Your continued participation on this site indicates your acceptance of this Privacy Policy and of the collection, use, disclosure, and management, and retention of your personal information as described herein.
